The role 职务

The Administrative Assistant to the General Manager will provide administrative and secretarial support to the GM and assist to ensure the effective operations of the Centre.

总经理行政助理将协助总经理处理行政事务、提供文秘工作,并协助确保研究院的有效运作。

Responsibilities 职责

To provide a diary management, administrative and secretarial support service for the General Manager of the Centre, including responding to postal correspondence, telephone calls, emails, diverting such correspondence to other staffs where appropriate. 为总经理提供日常管理、行政和秘书支持等协助,包括负责就相关的邮政函件、电话、电子邮件等进行回应,将相应信息转达给其他员工。

Draft weekly newsletter, monthly newsletter, proposals, reports, PPT slides, etc. for the General Manager, either in Chinese or English. Desirable: have relevant experience in media.为总经理起草周报、月刊,中英文提案、报告、幻灯片等。有媒体工作经验优先。

Be responsible for calendar management, event planning, and travel arrangements for the GM. Ensure the appropriate coordination of meetings and other big events, including agenda and minutes preparation, venue booking, catering etc.

负责总经理的工作日程、活动计划和出差安排,确保会议和其他大型活动的协调,包括准备议程和纪要,场地预订、安排餐饮等。

Assist to receive the visitors and guests to the Centre.

协助接待研究院的来访者和客人。

Assist General Manager with HR related work

协助总经理处理人事相关工作

Manage the administration of recruitment exercises which will include sourcing resumes, generating letters to applicants, arrange interviews etc. Prepare and file the recruiting documents.

管理招聘流程,包括简历整理联络应聘者、安排面试等。准备并归档招聘有关文件。

Assist to run the OSCAR Summer Internship Program procedure, including but not limited to collecting internship vacancies, posting internships on Oxford Careers Service, etc.

协助研究院暑期实习生项目相关流程,包括但不限于实习岗位信息搜集、岗位发布等。

Undertake other projects and activities as directed by the General Manager to support the operations of the Centre.

承担总经理布置的其他工作任务,以支持研究院的运作。

Selection criteria 选拔标准

· Experience of managing administrative processes and reception or customer facing work.

熟悉行政管理流程,有接待工作的经验。

· Excellent written and verbal communication skills in both Modern Standard (Mandarin) Chinese and English.

出色的书面语言和口头沟通能力,包括现代汉语(普通话)和英语。

· The ability to work independently, with minimum supervision, and a willingness to resolve situations, as well as knowing when to refer issues to others.

具有不依赖指导的独立工作的能力,有解决问题工作态度,并知道如何寻求必要的帮助。

· Problem solving skills and the ability to use initiative and exercise sound judgment and ability to prioritize workload during busy periods

· Ability to use standard computer programs (Outlook, Word, Excel, PPT).

· Master’s degree and/or relevant business administration experience.
